THE RMONEY FIELD GUIDE / 01
MAKE YOURSELF
AT HOME.
A little help with the bits around the music.
Start with one real plan. The rest can wait.
SIDE A / YOUR FIRST USEFUL PLAN
Getting started.
Follow these steps at your own pace. If your band is already here, ask its lead for an invitation and jump to step 3.
WELCOME → GET STARTED
Make your own account.
Open RMONEY, choose Get started and enter your email and a password of at least 12 characters. Each person uses their own account.
If asked to confirm your email, check your inbox and spam folder. Open the confirmation link in the same browser and on the same device where you signed up. Keep the signup tab open while you do this.
Already have an account? Choose Sign in. Use Forgot your password? if you need a recovery link.
If Continue with Google is available, you can use it to sign in through Google. For an existing band, use the same sign-in method and email address you used before. Signing in and joining a band are separate steps: use your lead’s band invitation to join their shared band.
YOUR ACT → YOUR PEOPLE → YOUR STARTING POINT
Give the band a home.
The person creating the band becomes its lead and manages access and booking decisions. Agree who that should be before starting; everyone else joins that same band.
- Your act: enter the band or artist name and, optionally, your home town or suburb.
- Your people: add your own name and instrument. Add bandmates now, or come back to them later.
- Your starting point: review the setup, then choose Open my band. Wait for the save to finish.
Adding a name to the roster does not invite that person or give them access. That comes next.
THE BAND → INVITE WITH FULL MEMBER ACCESS
Bring in one bandmate.
The lead opens The band, adds the person with Add person if needed, and selects one or more contributions under What they do: Musician, Manager, Crew or Supporter. An optional custom contribution label adds detail. Saving a contact creates no login or band access.
Choose Invite with full member access on their card. Review Confirm full member access, then choose Create full-member invite and Copy invitation. Send that invitation privately through your usual chat; RMONEY does not send it for you.
Accepted invitations give full member access to the band’s private songs, media, plans, contacts and booking conversations. Members can also see gig fees, total recorded gig costs and whether the full fee has been received. Contribution roles and custom labels do not limit this access. The lead keeps control of the profile, roster, access and booking decisions.
Finance access is separate. Itemised expenses, payment and reimbursement records, financial documents and finance exports are available to the lead and members the lead explicitly grants finance access. A full-member invitation does not grant it.
Your bandmate opens the link and signs in with their own account, then chooses Join shared band to accept the invitation. Signing in alone does not join the band. They can also use Joining an existing band?, paste the full Invitation link or code, and choose Join shared band.
Look for FULL MEMBER ACCESS on their card. Each invitation works once and expires after seven days; make a separate one for each person. The creator is labelled BAND LEAD; CONTACT · NO APP ACCESS identifies a contact without shared access.
THE BAND → CAN EVERYONE MAKE IT?
Find a date that works.
Choose the date you’re discussing. Each joined member records Available, Maybe or Unavailable. Unknown means they haven’t answered. The lead can record someone’s answer after checking with them.
Availability covers the whole date, rather than a time slot or an RSVP to a specific gig. Only mark Available when the full commitment fits. Put time restrictions in the plan’s notes and talk them through; notes do not override the booking check. Check travel, setup and pack-out dates too.
An availability answer helps you plan; it doesn’t confirm a booking.
LIVE → ADD A GIG / PLAN REHEARSAL
Put one real plan in.
Open Live. Choose Add a gig for a show or Plan rehearsal for a practice session. Enter the date, place and details you know. Leave unknown details blank where the form allows.
Keep an enquiry or hold at that stage until it’s agreed. For a gig, add useful contact details, load-in and soundcheck times, equipment notes and a setlist. Use tasks to make the next jobs visible.
Save the plan, wait for saving to finish, then reopen it to check the details. If you see an error, resolve it before assuming the change is saved.
MEDIA → PLAN A POST
Make something worth sharing.
When a gig is Confirmed or Played, choose Plan a post in Media. Pick the gig, a real photo, caption, person responsible and posting date.
Choose Save & prepare photo layout, select square, portrait or story format, and check the preview. Choose Save layout to post and wait for Layout saved to post. so the band can reopen your final caption, photo and crop. Then download the PNG and Copy caption. Check the details, photo permission and credit before you share.
You publish through your usual social app. A planned posting date is an organising aid; RMONEY does not automatically post it. The layout tool makes still images, not video edits.
That’s a useful first session.
Next time, come back to the same plan. Update what changed and see whether your bandmate can find what they need.
SIDE B / WHEN YOU NEED IT
A little further in.
You don’t need to learn every tool on the first day. Open the part that helps with what you’re doing.
Songs, arrangements and setlists
Use Songs to add a title, lyrics, chords and notes. Capture a fragment before it disappears; it doesn’t need to be finished. Keep useful details such as key, tempo and duration with the song.
Open a gig in Live, choose Setlist → Song to add → Add song, then move songs into order. The displayed minutes include only known song lengths, so allow for transitions and missing timings. After the show, correct the setlist to what you actually played, mark the gig Played and save it.
Reusable gig checklists
Open Prep, then New checklist or Start with gig essentials. Give the list a name, choose a gig if it belongs to one, and add tasks. Use subtasks to group jobs such as cables, power and spares. Assign people, add dates and set progress to Not started, In progress or Done. Group progress follows its final subtasks.
Choose Save checklist to share it with joined band members. Back in the list, Save as template keeps the routine for later. Use template or Copy for next gig starts a separate list with fresh dates and progress. The previous gig’s list stays unchanged. Select the next gig and save the new copy.
Refresh saved lists brings in other members’ latest saves. If a list has changed while you were editing, your draft stays open: refresh, keep any text you need, then choose Reopen saved version. Due dates are shown in Prep; automatic email and SMS reminders are not sent.
Download checklist saves the current draft as a text file for offline reading or printing. It includes unsaved edits and does not update itself. Quick tasks on your desk remain separate from these reusable lists.
A gig-day pack for when reception disappears
Open your gig in Live and choose Download gig-day pack. It saves a single HTML file with the venue, times, contact details, your gig notes, ordered setlist and linked quick tasks. Reusable Prep checklists have their own Download checklist option. Open the file from your downloads in a browser before you leave. You can read it without reception, or use your browser’s Print option for a paper copy.
The pack includes the edits currently in your gig brief. Choose Save gig separately to update the band’s shared plan. Download a fresh pack after changes: the saved file does not update itself. Unknown times stay marked as unconfirmed, and advertised gigs retain their listing status.
Share the file with your crew: it contains your gig notes and venue contact details. Payment fields, lyrics and media aren’t included. Keep any sensitive information out of the notes you plan to share.
Your gigs on a map
Open Live → Gig map to explore your band’s records by city. Filter by year and status, choose a city, then open a gig to find its brief, songs and notes. The city list offers the same records as the map.
To add a location, open the gig’s The brief tab and search City for gig map. Select the right city and country, then choose Save gig. These are approximate city centres. Keep the venue’s street address in its separate field for the actual destination.
Counts describe the records you selected. A public listing does not confirm that a performance happened; use Played for your own confirmed history. Gigs without a selected city remain available to edit. The map stays inside your band’s workspace and needs no location permission.
Make a press kit for venues
Open The band → Make a press kit. Your band profile supplies the introduction, location and styles. The lead can choose a real photo, select listening links and enter the booking contact they want recipients to see.
Choose Save kit choices to keep this selection for your bandmates. Everyone in the band can preview and download the saved version. If a photo or link was removed, RMONEY tells you and leaves it out of the preview.
Choose Preview press kit, check the result, then Download press kit. The HTML file opens in a browser without an RMONEY account and keeps the chosen photo inside it. Use your browser’s Print → Save as PDF for a PDF copy. Send the file yourself; RMONEY does not publish it or email anyone. Listening links still need an internet connection.
Your original photo stays unchanged. Use a still JPEG, PNG or WebP below 25 MiB and up to 40 million pixels. A failed photo load leaves your choices in place so you can retry or choose another image.
Rehearsals and practice tools
Use Live → Plan rehearsal for the time, place and rehearsal notes. Keep the songs you want to work on nearby in Songs.
Jam has a metronome, drum patterns and a tuner. Start playback yourself, adjust the tempo and stop when you’re done. The tuner needs microphone permission; you can refuse it and still use the other parts of RMONEY.
Voice memo records up to two minutes with microphone permission. Stop and listen back, then choose Save to your media. Wait for Saved to your media before leaving or starting another take. Download original keeps a separate copy.
Find gigs, agree terms and confirm a booking
Choose an Area to narrow the gig wall, then combine it with a venue or style search, dates and pay. Areas come from the organiser’s selection. Try Area not set for older listings and other locations, or All areas to include everything matching your other filters.
In Find gigs, open an organiser’s brief and check the location, date, playing times, pay, equipment and required lineup. Apply only if it fits. Listings depend on organisers posting them; there may not yet be a suitable opportunity near you.
Keep questions and replies with the application. Use Refresh brief & latest replies to see changes. Gig-board email and push notifications are not connected, so check back in the app. The band lead accepts an offer only after reviewing the terms, required members’ availability and conflicts. Only commitments entered in RMONEY can be checked, so confirm outside plans with the band too. Applying or receiving an offer is not a confirmed booking.
Accepted offers create a gig and preparation tasks. Agreed booking terms stay protected. If plans change, use the application’s cancellation action instead of editing the agreed date or venue as though it were a new arrangement.
Post a gig as a venue or organiser
Open Find gigs → Venue desk → Post a gig. Create a brief with the date, location, set times, payment basis, equipment and the act you’re looking for. Review the information before publishing it.
Choose the venue’s Area so bands can find the listing. For somewhere outside the choices, select Other / area not set and enter the suburb yourself. The street address is still needed in either case.
Review applications, ask questions and send an offer with clear terms. The band needs to accept before the booking is confirmed. Keep later changes and cancellations with that booking so both sides can follow what happened.
Keep the photos, videos and promo together
In Media, enter the Photographer / creator credit, confirm permission to use the material, then choose Add original media. Upload the band’s real photos, audio and video. New uploads are private to authorised access; attaching a selected file to a gig application shares that selection with its organiser.
Wait for an upload to complete and check that it opens before moving on. The current limit is 25 MiB per file. Keep your camera originals too. Larger videos may need a smaller copy for the app.
The public Dead Amigos demo archive is separate from private uploads. Putting a posting date on a promo plan does not publish media or notify a bandmate.
Prepare a post the band can pick up later
Choose Media → Plan a post, select the gig, posting date, channel and person responsible, then add your own caption and a photo. Choose Save & prepare photo layout to open that post in the photo editor.
Pick Square, Portrait or Story, choose a layout, then adjust the horizontal crop, vertical crop and zoom to keep everyone in frame. The original photo stays intact. Choosing another photo centres its crop again.
Choose Save layout to post and wait for Layout saved to post. Your caption, photo, format and crop are saved with that post for the band to reopen. If saving fails, your edits stay in the editor so you can retry. Downloading a PNG does not save the shared plan.
Use PNG and Copy caption when you’re ready to publish through your usual social app. Return to the post plan to mark it Posted and add its link. Nothing is posted or sent automatically.
Keep track of the money
Use the gig record and Money to track agreed fees and payment status. Leave an unknown fee unknown; zero means a known zero amount. For a marketplace booking, record settlement after the gig is Played.
Shared gig fees, total costs and full-fee payment status are visible to band members. The lead separately grants finance access to view and edit itemised expenses, payment and reimbursement records, open financial documents and export finance records. Keep documents in the private finance area.
RMONEY keeps a record of what is owed and received. It does not collect payments, pay bandmates or transfer money. Confirm payment with the organiser through your normal process.
Get to know a venue
Local is the Melbourne venue directory. Search by name or suburb and use the linked sources to check details. A directory entry is not an available booking or an endorsement.
Confirm equipment, accessibility, load-in, capacity and contact details with the venue before relying on them. Add the practical information for your show to its gig notes.
A QUICK SOUNDCHECK
Something stuck?
The confirmation or reset email hasn’t arrived
Check spam or junk and the address you entered. If a message has already arrived, use that link in the browser and device where you requested it. Avoid repeatedly requesting new emails: a new request can replace the earlier link.
If the app asks you to wait, leave it a little while before trying again. If a link has expired or already been used, return to sign-in and use the recovery option when needed. On the recovery page, enter a new password of at least 12 characters, select Update password and look for the success message. Tell us if you still can’t get in.
I’m seeing an empty band or the wrong band
If a different sign-in method opens a fresh setup screen, sign out and return using your original method and email address. Don’t create another band to recover the existing one. There is no manual account-linking option yet; if the band is still missing, tell us before setting up a duplicate. See account sign-in guidance.
If you belong to more than one band, use The band → Switch band to choose the right one. Adding someone to the roster does not give their account access. A joined member shows FULL MEMBER ACCESS and the creator shows BAND LEAD. If you meant to join an existing band, use its lead’s invitation rather than creating another band with the same name.
Ask the lead for a fresh invitation if yours has expired or was already used.
A change won’t save, or someone else changed the plan
Read the message before retrying. Copy any unsaved lyrics or important notes somewhere safe first. Reload saved version replaces your local draft with the saved band, so only use it when you’re ready to discard those unsaved changes.
Check your connection and sign-in, then reopen the item. If the problem continues, tell us what you were saving and the message you saw.
Why can’t I edit something?
The lead manages the band’s profile, roster, access and booking decisions. Joined members update their own availability; the lead can record a checked answer for someone else.
Some fields are deliberately locked after a marketplace booking is agreed. Changes to those terms need to be dealt with through the booking, not by overwriting its gig record.
A photo, upload or layout won’t work
Check that the file is a supported photo, audio or video and is within 25 MiB. If a photo won’t load, wait for it to finish or choose another before exporting. Review the completed preview before downloading the PNG.
If permission was removed or a file is unavailable, ask the band lead to check access. Don’t post a private media link or invitation publicly to troubleshoot it.
Can I use it on my phone or offline?
Use RMONEY in your phone, tablet or computer browser. You can bookmark it or add the site to your home screen using your browser’s menu. Native mobile apps are planned for later.
You need an internet connection to sign in, load shared plans and save changes. Download a gig-day pack from your gig before leaving to keep its show sheet and setlist readable without reception. The pack is a saved snapshot; offline editing and sync are not available yet.
BUILT THROUGH REAL USE
Tell us where it gets in the way.
During the pilot, reply in the conversation where you got your invitation. What were you trying to do, where did you get stuck, and what would have helped? A sentence or screenshot is enough. Keep passwords, invitation links and other people’s private details out of screenshots.
Archive detail wrong? Tell us which song, show or photo needs correcting. You know your band better than a public listing does.
